{ Rules and Regulations }

1 COMPETITION PURPOSE AND ORGANIZER

1.1 Competition is organized by Ace Lagoon Oy (Organizer), a private company located in Finland, that organizes the Game Development World Championship (GDWC).

1.2 The purpose of the GDWC Mascot Design Competition is to find a design and idea for a character suitable to represent GDWC in various forms of digital and physical media.

2 DESIGN GUIDELINES

2.1 The mascot design must be friendly and approachable, and must be reasonably related to general themes of gaming and game development. Otherwise outside-of-box thinking and wild ideas are encouraged.

2.2 Design can be 2D, 2.5D, 3D etc. It can also be full orthographic drawing, 3D model, concept art, or just a mockup of an idea.

2.3 Design may consist of one or more drawings, digital paintings, 3D models, videos, or other visual representations of the character.

2.4 Design must be easily distinguishable and identifiable, regardless of the medium it’s presented in.

2.5 The design may not contain any of the following:

  • Any form of nudity or sexual acts. Animals don’t necessarily have to wear clothes, depending on the style and intent of the design. Use common sense here.
  • Caricatures or portraits or other identifiable representations of real people
  • No tracing or copying characters from another artist, no fan art, no utilizing 3rd party characters or IPs in the design.
  • No extreme gore or violence
  • No racist, political, religious, or inflammatory messages, imagery, or iconography

2.6 GDWC may at any point disqualify any design if deemed inappropriate or otherwise breaking design guidelines.

3 PARTICIPATION AND COMPETITION SUBMISSIONS

3.1 The competition is open to anyone interested.

3.2 Participants under the age of 18 or other local equivalent of legal adulthood if higher than 18, cannot register to the GDWC site, but can still participate. In these cases a legal guardian of a participant under legal adulthood age, must register on behalf of the participant. This must be clearly stated by selecting appropriate option during work submission.

3.1 Submission deadline is 28th of November 2021 at 23:59/11:59 PM Finnish time. Submissions made after this date and time are not accepted.

3.2 All submissions must be in digital format. Physical drawings and other similar physical designs are accepted, but must be provided digitally as scans or pictures.

3.3 All submissions must be made through the GDWC website and the appropriate competition submission form as instructed on the site.

3.4 All submissions must include the following:

  • Character name
  • Character description. Short description is enough.
  • Name of the artist.
  • Character design in digital format.

3.5 Participants can submit multiple different works to the competition. Different works must be made as separate submissions through the competition submission form in the GDWC site. If multiple works are included in the same submission form, these are by all purposes considered to be one submission and piece of work.

3.6 By submitting work to the competition, participant states that they are the creator and owner of said artwork, or are submitting on behalf of the creator and owner of said artwork with their full knowledge, understanding, and permission, and have full rights to submit said artwork to the competition.

3.7 Participant understands and accepts that once the submissions close and while the judging process is active, they can’t remove their submission from the competition.

3.8 The participant accepts all responsibility and liability for any works submitted to the competition in case of copyright or other legal claims by third parties.

4 WINNERS AND PRIZES

4.1 Organizer will pick the winner in an internal review process. Following criteria will be used in the judging process:

  • Novelty and freshness of character concept
  • Character concept’s suitability for use as official GDWC mascot
  • Skill and execution in character presentation
Additional criteria can also be used during the judging process.

4.2 Any decisions on Winner and additional prize recipients are made by the Organizer or representative appointed by the Organizer at its sole discretion. Participants have no right to complain about the decisions.

4.3 Competition Winner will receive a prize of 1000 Euros or equivalent in their local currency based on the conversion rate during the moment of payment.

4.4 Organizer reserves the right to, on Organizer’s discretion, reward up to 10 additional works with prizes ranging from 100 euros to 500 euros. Individual prizes are decided on a case-by-case basis by the Organizer.

4.5 Winner and any other possible prize recipients are responsible for any taxes, tolls, or other charges applied to their prize payment by their local laws. The prize money will be paid to the bank account announced by the receiver of the prize. The Organizer will enquire the account information from the receivers.

4.6 Prize money can’t be passed on to another recipient or changed into other rewards or otherwise replaced.

4.7 Not accepting the prize money does not negate a competitor's winning status or any obligations arising from it.

4.8 If a winning or other prize receiving participant is under the age of 18 or their local legal adulthood, and their work is submitted by a legal guardian or other representative of required age, the reward will be paid to the legal guardian or representative.

5 COPYRIGHT AND OWNERSHIP OF WORKS

5.1 Submitting works to competition doesn’t transfer ownership of said works.

5.2 Competition Winner and any additional prize recipients agree to fully transfer all copyrights, to the maximum extent as regulated by applicable legislation, of their winning or otherwise rewarded work to the Organizer. No other fee or compensation will be paid for the transfer of ownership than the Prize previously described.

This is due to the competition goal of utilizing the winning design as official GDWC mascot or as a design basis for it. GDWC must have unlimited and untethered right to utilize and further develop the character design. If you are not ok with this term, please do not participate in this competition.

5.3 The Organizer will present names of the rewarded artists in conjunction with the mascot or any other character designs which are directly based in the rewarded works while these designs are actively utilized. The name will be presented in a reasonable manner.

For clarification, in example, the winner’s name will be mentioned in the GDWC website as “GDWC Mascot original design by Name Here” or in similar manner.

5.4 If the winner or any other rewarded participant has submitted more than one work into the competition, the ownership transfer applies only to the rewarded work. Any other submitted work by the participant stays in the participant’s full ownership.

5.5 When submitting work to the competition, the participant agrees to give the Organizer full right to publicly present and otherwise utilize the work without any compensation for the purposes of conducting the competition and promoting the competition. This does not give the Organizer the right to sell the work and this does not transfer ownership of said work.

6 USE OF WORKS

6.1 Participant understands that the Organizer has no obligation to showcase or present submitted works publicly in any capacity.

6.2 The Winning work or works or part of these maybe be used by the Organizer as is, transferred into another format, in modified form, only as a basis or inspiration for derivative works, or in any other form or manner determined by the Organizer to best suit the intended use.

7 GENERAL

7.1 The Organizer reserves the right to disqualify and remove any work or participant from the competition at any time and for any reason without notice or explanation.

7.2 All participant data and information submitted to the GDWC website is handled in accordance with the GDWC Privacy Policy.

7.3 All participant accounts and submissions are governed by the GDWC Rules and Regulations except for the specific parts applied to by these rules.

7.4 The Organizer reserves the right to modify these rules at any time. Changes will be made public in the GDWC or other related website.

7.5 The competition and these rules shall be governed by the laws of Finland.

Bonus stages are additional challenges for game developers, giving them a chance to win prizes that are not part of the two main categories. For the Game Jam category, this means participating with games made during game jams.

How do I participate in this bonus stage?

Register for the Game Development World Championship normally. Find out a Game Jam you want to participate in, and develop your game during that game jam according to their rules, if any. Afterwards, submit your game into the GDWC as you would any other game.

  • The game for the submission must have been done entirely during a game jam, which must be specified while submitting the game.

Bonus stages are additional challenges for game developers, giving them a chance to win prizes that are not part of the two main categories. For the Fan Favorite category, there are no additional limits, it's simply a bonus!

How do I participate in this bonus stage?

Register for the Game Development World Championship normally. We will pick awesome games from those submitted into the competition weekly. During this week, our audience can vote for their favorite game of the week, which will then be a nominee in the final Fan Favorite vote.
